External-facing versus internal-facing, and why the bar is different.
External-facing support, the dental voice receptionist, the healthcare scheduling assistant, the patient concierge, talks to people who are not on your payroll and who will judge your business by the interaction. Every one of these needs a fallback for when the automation genuinely does not know the answer: a way to reach a human, not a dead end. None of the free templates here include that by default; it is the first thing to add, not an afterthought.
Internal-facing support, the knowledge support agent answering employee questions, the scheduled notification workflows, has a lower stakes profile because the audience already knows they work for you and can walk over and ask a person if the bot gets it wrong. That gives you room to ship something rougher and iterate, which is exactly backwards from where most teams put their caution.
The routing and triage templates, Support Routing System and Client Inquiry Reply, sit in between: they touch customers but a human still approves or handles the actual resolution. That middle tier is where most businesses should actually start, because it keeps a person in the loop while still removing the manual sorting work.
Matching the template to who is actually on the other end
Customer-facing means you need a human fallback
If the person calling or messaging is not on your payroll, build the escape hatch to a real person before you launch, not after the first complaint.
Employee-facing can ship rougher
Internal tools have a built-in safety net: people already know who to ask if the bot is wrong. Use that room to iterate faster.
Start with routing, not full automation
A template that classifies and routes a request to a human is a smaller commitment than one that resolves it end to end, and it is usually the better first step.

Scheduled Telegram Notifications
Sends Telegram messages on a schedule. The simplest useful n8n workflow in the collection, and a good first import to confirm your instance and credentials work.
Watch out: No failure alerting. If the bot token expires the workflow simply stops and nobody is told, which is the most common way scheduled automations die quietly.
Scheduled SMS from Airtable (Vonage)
Reads rows from Airtable on a schedule and sends SMS via Vonage. A workable base for appointment reminders and simple customer notifications.
Watch out: No opt-out handling. Sending SMS without STOP handling is a compliance problem in both the US and UK, and this workflow does not address it.
Flowise Community Chatflows
Visual LLM chatflows covering RAG, PDF chat, SQL agents and support bots. Exported as JSON and imported into your own Flowise instance.
Watch out: Self-hosted LLM builders have had serious security advisories. Do not expose a Flowise instance to the internet without authentication in front of it.
AI Dental Receptionist
A 24/7 AI phone receptionist that answers calls, checks Google Calendar availability, books appointments, and sends SMS confirmations, with Claude handling the conversation and Vapi handling the phone line.
Watch out: Vapi is only the phone pipe here; Claude via a Django backend is the actual brain. This is a small application to stand up and operate, not a drop-in workflow, so budget real setup time rather than treating it as a weekend project.
Patient Concierge
A conversational concierge agent that answers patient questions and triages requests before they reach front-desk staff.
Watch out: A conversational front door for a clinic, not a scheduling system. It still has to be wired to your actual EHR or booking system to do anything beyond talk; on its own it can discuss appointments without being able to book one.
Support Routing System
Classifies an incoming support message and routes it to the right specialist agent or queue automatically.
Watch out: Routes based on the categories defined at setup. Add a new ticket type to your business and the router does not know about it until someone updates the flow.
Client Inquiry Reply
Reads an incoming Gmail inquiry, drafts a reply, and routes it for approval before it goes out.
Watch out: Drafts a reply for Gmail specifically. If your support inbox lives anywhere else, this template does not transfer without rebuilding the trigger.
Knowledge Support Agent
An internal HR chatbot that answers employee questions from your own documentation instead of routing every question to an HR inbox.
Watch out: A single shared knowledge base powers every answer. If the underlying documentation is thin or outdated, the agent confidently repeats that thinness back to employees rather than flagging the gap.
Healthcare Scheduling Assistant
An official Vapi example assistant for scheduling healthcare appointments by phone, including call recordings and the calendar tool-calling setup.
Watch out: An official example, not a certified medical product. It still needs to be connected to your actual practice-management calendar API, and any HIPAA-relevant configuration is on you to add, not included.
